Reservations picked from an allotment are almost the same as a standard reservation. The only difference is that an allotment reservation affects the number of rooms left in the allotment allocation and not the hotel availability and that allotments may have different rates.
Follow the next steps to create an allotment reservation:
Press Shift+F5 or select Allotments from the Reservations menu. A window to search for a specific allotment appears, leave blank and choose OK if you want to see a list with all configured allotments.
Select the allotment for which you want to create a reservation and choose Zoom-in.
Enter the arrival date and choose OK .
A detailed list of the allotment will be displayed from the entered arrival date, showing the number of allocated, picked and free rooms per date, room type and - if configured - the available allotment rates. Released allotment dates are displayed in a different color.
Select the room type and - if available - rate code for which a reservation must be created and choose Reservation .
The reservation window will now be displayed. The arrival date, room type, rate code and allotment code are already entered in the reservation. Enter all remaining details as usual.
It is not possible to create a reservation from an allotment with an arrival or departure date, or a day within the stay, for which no allotment has been created. Amadeus - PMPRO will warn you for which day there is no allotment available at the time you enter the allotment field.
The room type and rate code are not automatically entered in the reservation if the allotment has been created for * <any room type> and/or * <any rate code>. You may enter any available room type and rate code.
If a reservation has been made with an allotment rate, the rate code in the reservation will be prefixed with an exclamation mark (!). For Amadeus - PMPRO this is the indication that the rate from the allotment definition has to be used instead of the rate from the normal rate definition. If you over write the rate, the rate code will be prefixed by an asterisk and an exclamation mark (*!). If you remove the rate code you may select a rate code from the normal rate code definition table.
Allotment reservation can be cancelled in the same way as standard reservations. Once an allotment reservation has been cancelled, the room will fall back into the allotment availability or in the hotel availability if the allotment has already been released.
From the reservation list you may search reservations made within a specific allotment. Open the reservation list, press Search and choose Allotment. Enter the allotment code, the arrival date is optional. Then press OK.
From the allotment screen it is possible to see linked events with a conference room reservation from the context menu (right click on the conference booking). Reservations that will be picked up from the allotment will have the same event number as the conference booking, which keeps all reservations (conference and rooms) of the same event together.
