Allocate rooms to an allotment

The "Rooms" window has 4 different views:

  1. To allocate rooms.

  2. To specify the number of booked rooms.

  3. To view the number of rooms that have been picked from the allotment.

  4. The number of free rooms left in allotment.

Click on the Arrow down at the Rooms category option to see a list of the available views and make your selection.

If you do not want to allocate rooms at this moment, you may Close the window. You may edit and allocate rooms at any time for as long as a certain date has not been released.

Allocated view

The allocated view displays a list per room type per day with the number of rooms that have been allocated. Released allotments are displayed in a different color. The default number of rooms is zero (0) if the allotment has just been created.

Follow the next steps to allocate or change a number of rooms:

  1. Click on a column header to select all fields in a column or click in the column (on the first date) from the room type for which rooms must be allocated and hold the mouse button.

  2. Drag the mouse, while holding the button, to make a selection. You may drag in any direction.

  3. Release the mouse button. A window will pop-up, enter the number of rooms that must be allocated and click [OK]. The entered number of rooms are now taken out of the hotel availability and allocated to the allotment. The grid will display the allocated number of rooms.

Note.It is also possible to enter a number of rooms in a single cell. Just click in the cell and enter a value. It is not possible to allocate rooms for a date that already has expired.

Booked view

The booked view allows you to enter, change and view the travel agents booking position. The booking position is used for travel agents who send weekly or monthly booking positions for the allotment without sending the actual reservations. The travel agent will then send a rooming list (i.e. the actual reservations) several days before arrival. The booking position can be entered in the same way as the room allocation. The entered booking positions are calculated as definite reservations in the allotment availability, the hotel availability and the hotel status. You may edit and specify the booking position at any time for as long as the allotment has not been released.

Note.Booking positions are not real reservations, they are therefore not printed on any reservation or in-house report nor are they calculated and printed in the forecast on the manager report or in any other forecast. It is not possible to enter booking positions for a date that has already  been released.

Tip.You do not have to use the booking position if a travel agent always sends the actual reservations each time an allotment reservation has been made.

Picked view

The picked view displays the number of actual reservations made within the allotment. You cannot make any changes in this view. The figures are automatically updated with each reservation made within the allotment.

Free view

The free view displays the number of rooms within the allotment for which no reservations have been made (allocated -/- picked) or booking position has been entered (allocated -/- booked). If for the same date reservations have been made (picked) AND a booking position (booked) has been entered, Amadeus - PMPRO will deduct the largest of the two from the number of allocated rooms.

 

Examples

It is not possible to make any manual changes in this view, the figures are automatically updated with each reservation (or booking position entry) within the allotment.

If you have selected * <any rate code> in the previous step, the allotment definition is now ready. Choose Next to specify the rates for this allotment if you have selected one or more rate codes.
