Allotments (IHG CRS)

The IHG CRS interface is a two way interface which not only downloads actual room reservations but uploads local changes and locally created reservations and allotments.

In the event you want to create a group reservation on IHG CRS, you need to manually create an allotment for that group in Amadeus - PMPRO with the same group code, in order to reduce the hotel availability with the rooms that are allocated to the group.

How to get here?

• Choose the Allotments option in the reservations menu to create the group in Brilliant.

Additional requirements

There is no 100% match between the IHG CRS group functionality and the Amadeus - PMPRO allotment functionality. This results in the following additional requirements for IHG CRS group reservations.

• Group code and description

  • The C/G code field is a three character field to specify the exact same code that is used for that group on Holidex. This code is used to link the Holidex group with the Amadeus - PMPRO allotment, allowing to reduce the groups room allocation when reservations are picked up from the group.

  • The group description field can be used for the group name, if specified it will be used in the group field of each reservation picked up from the group.

• Group dates

  The allotment start and end date, as well as the valid room types must be equal to the Holidex group master.

  In Amadeus - PMPRO you can create an allotment for any date in the future. Holidex only allows you to create a group with an end date that falls within 50 weeks from now.

• Group room types

  • Holidex allows you to allocate rooms to any room type at any time. In Amadeus - PMPRO you specify valid room types when you create the allotment. Once created, you can not add other room types. It is therefor recommended to specify all room types as being valid, and only allocate rooms to room types you would like to sell through that group.

  • On Holidex you can allocate rooms to non-descriptive room types. Amadeus - PMPRO does not have non descriptive room types. In Amadeus - PMPRO you can allocate rooms to 'Any room type', they reduce the hotel availability for the first possible room type.

  • On Holidex, the group can only be created for all dates between the start and end date of the group. In Amadeus - PMPRO you can specify the days for which an allotment should be created (e.g. to exclude weekend days). You should therefor always create an allotment that is valid for all days.

• Group rate

  Holidex does not allow you to specify a rate category for a group reservation. If a reservation is picked up from the group, the reservation is send with the 'dummy' rate category 'GZGRP'.
  
  If you create a matching Amadeus - PMPRO allotment for and link it to the Holidex group (C/G code), you must specify the Amadeus - PMPRO rate code that is linked with the Holidex rate category 'GZGRP', in order to let Amadeus - PMPRO know which Amadeus - PMPRO rate code to use for the reservation.

  Best practise is to create a single rate code in Amadeus - PMPRO that is to be used for Holidex group reservations, specify the CRS code 'GZGRP' and use this rate code to the Amadeus - PMPRO allotment.

  If you do not specify this rate code:

  • A Group rate error will be added to the CRS log.

  • All downloaded reservations will receive the 'default rate code' which is specified in the Holidex interface parameters.

• Group release date

  • In Holidex you can specify a release date after the start date of the group. The latest possible release date in Amadeus - PMPRO is equal to the allotment start date. Do not create a group on Holidex with a release date after the group start date to prevent balancing discrepancies caused by a different release on both systems.

  • The Holidex release date with the 'One day at a time' setting disabled is equal to the allotment release date in Brilliant.

  • The Holidex release date with the 'One day at a time' setting enabled is equal to the allotment release days in Brilliant. However, this needs to be specified differently. In Holidex you specify the first release date and indicate that from that day, rooms must be released on a daily bases. In Amadeus - PMPRO you cannot specify the first release date, instead you specify the number of days prior to the allotted date. This can best be explained with an example:
    
    You need to create a group reservation from 7 to 14 May 2005. You want to release rooms one day at a time, starting from 30 April 2005 (the first release happens during the night audit from 30 April to 1 May, on 30 April the rooms for 7 May are still allocated, on 1 May they are released.
    
    Holidex setting: release date is 30 April 2005, one day at a time enabled.
    Amadeus - PMPRO setting: 7 release days (the difference between 30 April and 7 May is 7 days).
