Room Maintenance

This feature is used to specify Out of Order (OOO) or Out of Service (OOS) rooms. You may want to do this in case of maintenance requirements or, for example because you would like to close a floor or wing during low season. Out of Order rooms are taken out of the hotel's availability and are therefore not calculated in the occupancy percentage figure on the Manager Statistics report. Example

Description of the available search options

Status

Select either "Out of Order" or "Out of Service". If no status is selected both statuses will be displayed.

Floor

Enter the floor number, no entry will show all floors. It is possible to enter several floors (separated with a comma): i.e. 1,3,4

Section

Enter the section number, no entry will show all sections. It is possible to enter several sections (separated with a comma): i.e. 1,3,4

Room type

Enter a room type, no entry will show all room types. It is possible to enter several room types (separated with a comma): i.e. TDBN,KNGN,KEXS

Room number

Enter a room number, no entry will show all room numbers. It is possible to enter several room numbers (separated with a comma): i.e. 1007,1008,262,263

Date

Enter a date if you want to see a specific day. No entry will show all days.

Include history

"Include history" will show "Out of Order" and "Out of Service" rooms from the past.

Click this button to search for the entered criteria

Close

Edit

Choose [Edit] to change the details of an existing OOO/OOS room.

New

Choose [New] to create a new OOO/OOS room.

Select the room number that you would like to put Out of Order/Service.

 

Status

Select the new status for the room: Out of Order or Out of Service.

Amadeus - PMPRO will notify you when the room is linked to a reservation for the specified time period. It is possible to put such rooms Out of Service, but not Out of Order. If you do wish to put the room Out of Order, first assign a different room to the reservation, for example in the room plan.

From/To

Specify the date range during which the room is Out of Order/Service. The To date is the last day that the room will be Out Of Order/Service.

The From and To dates can not be the same. Use Actions to process these maintenance requirements.

Reason

Select the reason why the room has been put Out of Order/Service. The reason is used for reports.

 

Return status

Select the housekeeping status for the room when it is released back into the availability. We recommend to always use a status that requires housekeeping to check the room before given to a guest, e.g. 'Dirty' or 'Ready for Inspection'.

 

Description

This free text field can be used to enter extra information, such as the maintenance requirement. The description is printed on the room maintenance reports and displayed in the room plan.

 

Created/By

These fields are automatically filled in by Amadeus - PMPRO and specify the date on which the OOO/OOS room has been created and by whom.

 

Authorized by

This field is automatically filled in by Amadeus - PMPRO to indicate who authorized for the room to be put Out of Order/Service. The default user is the one who created the OOO/OOS room however, you may change this to a different Amadeus - PMPRO user.

 

Copy

Choose [Copy] to copy the details of an existing OOO/OOS room. This feature is particularly useful when you need to put an entire floor or wing Out of Order/Service, for example for spring cleaning.

Delete

Choose [Delete] to release the room back into the hotel availability prematurely. The room will no longer be listed as an OOO/OOS room.

 

Tip Out of Order/Service rooms can be printed from the Reports ยป Housekeeping menu.
