Check-In

Reservations can be checked in from the following windows:

• Reservation list

• Arrivals list

• Room Rack

To check-in a reservation

1. Open one of the windows mentioned above.

2. Search and select the reservation you would like to check-in.

3. Choose [Check-In].

Check-In messages

Depending on the configuration and the reservation details the following messages may be displayed:

• Arrival date must be today

  This message appears if you try to check-in a future arrival. Only reservations with today's arrival date can be checked in.

  1. Verify if you selected the right reservation.

  2. Choose [Edit] if the reservation contains an incorrect arrival date, or if the guest arrived earlier then scheduled.
  3. Choose [Check-In] again.

• This guest is not a loyalty member. Does this guest want to enroll in the loyalty program?

  This message may appear when the loyalty program is activated. If enabled, it will appear each time you check-in a guest who is not a loyalty member. Choose whether or not the guest would like to join in the loyalty program. You may be prompted to compete the demographic information of the guest (Street 1, City, State, Zip code and email Contact are mandatory for enrollment). Complete the details prior to check continue with the check-in.

   

• Does this guest allow info to be used for marketing?

  This message may appear when the Opt-in feature is activated. If enabled, it will appear each time you check-in a guest who is not a loyalty member (loyalty members have agreed already). Choose whether or not the guest allows you to use his stay information for marketing. Your choice will be saved on the Communication tab page in the contact details.

   

• Room ### is not clean would you like to assign another room?

  This message appears when you try to check-in a reservation in a dirty room.

  • Choose [Yes] to continue. The room number availability appears allowing you to assign another room.

  • Choose [No] if you do not want to assign another room. A new message appears asking you if you would like to continue with the check-in. Choose [Yes] to check-in in a dirty room or [No] to stop the check-in.

• Room is out of order, please assign another room.

  This message appears when you try to check-in a reservation to a room that is out of order. The room availability appears when you close the message, allowing you to assign another room.

   

• Room is out of order, would you like to assign another room?

  This message appears when you try to check-in a reservation to a room that is out of order. Choose [Yes] to assign another room.

   

• This room is already occupied by ... , would you like to assign another room?

  This message appears when you check-in a reservation to a room that is already occupied.

  • Choose [Yes] to continue. The room number availability appears allowing you to assign another room.

  • Choose [No] if you do not want to assign another room. A new message appears asking you if you would like to continue with the check-in. Choose [Yes] to check-in or [No] to stop the check-in.

  Depending on the preferences, you can or cannot double book or double check-in a room.

  This message appears when you check-in a reservation to a room with a scheduled departure for today.

  • Choose [Yes] to continue. The room number availability appears allowing you to assign another room.

  • Choose [No] if you do not want to assign another room. A new message appears asking you if you would like to continue with the check-in. Choose [Yes] to check-in or [No] to stop the check-in.

• The departing guest ... has not checked out yet, would you like to assign another room?

  This message appears when you check-in a reservation to a room with a scheduled departure for today.

  • Choose [Yes] to continue. The room number availability appears allowing you to assign another room.

  • Choose [No] if you do not want to assign another room. A new message appears asking you if you would like to continue with the check-in. Choose [Yes] to check-in or [No] to stop the check-in.\

  Depending on the preferences, you can or cannot double book or double check-in a room.

  This message appears when you try to check-in a reservation to a room that is out of order AND when you DO allow to book out of order rooms. Choose [No] to check-in to the out of order room, or choose [Yes] to assign another room.

   

• Group check-in

  Amadeus - PMPRO allows you to check-in all reservations that belong to a group (have the same group name). When you search for a group name all reservations are highlighted. You can work on the selection with the [SHIFT] and/or [CTRL] keys and the mouse.
