Account Receivables

 

The optional account receivable module is used to create and monitor outstanding invoices of your receivables (also referred to as city ledgers).

How to get here?

Note This option is only available when the account receivable module has been installed.

Account pane

This is the top most pane. It displays the account details such as the number, company name, the account type, the status and the current balance. The following options can be reached through the context (right click) menu and/or some options can also be activated with a button.

Query options

Choose [Search] after you have entered your search criteria. The system will display a list with accounts that meet all the entered criteria.

Account number

Enter a range of account numbers to be displayed. Leave blank for all accounts

Folio number

Enter a range of folio numbers. Leave blank to search folios of all accounts.

Include History

To toggle the display of history folio's (paid folio's)

Company

Enter a (part of a) company name to search for accounts

Contact

Enter a (part of a) last name to search for accounts

User defined field 1

Enter the required content of user defined field 1

User defined field 2

Enter the required content of user defined field 2

Include History

Activate this option to display folio's that have been paid in the history (cannot be amended).

Include inactive accounts

Activate to show inactive accounts as well.

Search

Click this button to search for the entered criteria

Close

Click this button to close the window.

 

Available icons

Item

New

Choose [New] to add a new account.

Edit

Choose [Edit] to change the details of the selected account.

Delete

Choose [Delete] to delete the selected account.

Aging

Choose [Aging] to display a folio aging list of the selected account. The aging list displays the balance per configured aging categories.

Statement

Choose [Statement] to print a statement for the selected account.

Statement (selected invoices)

Choose [Statement (selected invoices)] to print a statement for the selected invoices for selected account.
You can select the invoices in the folio pane.

Actions

Choose [Actions] to create / edit / complete actions for yourself or your colleagues for this account.

New

Choose [New] to add a new account.

Restore columns

Restores the columns of the screen to the default

 

 

Folio pane

This is the lower left pane. It displays all folios if the account you have selected in the account pane. It displays the folio number, date amount and balance. Paid folios are listed at the end. The display is divided into Folio's and History (if include history is activated).

Pay

Choose [Pay] to post a received payment to the selected folio.

Reconcile

To reconcile to folios, one in minus and one in plus. The credit amount may not be higher than the debit amount.

Export

To export the folio as pdf-file and send it via email.

Summary

To close several open folios, create a new folio with the balance. Useful if you have a monthly bill for a company and you are to send only one invoice per month.

Transfer

Choose [Transfer] the transfer the select folio to another account.

Dispute

Choose [Dispute] to toggle the dispute flag of the selected folio.

Pay

Choose [Pay] to post a received payment to the selected folio.

Print

Choose [Print] to print the selected folio.

Preview

Choose [Preview] to preview the selected folio.

Folio style

Choose [Folio style] to choose a different print style of the folio

Restore columns

Restores the columns of the screen to the default

 

Postings pane

 

This is the lower right pane. It displays all charges and adjustments that are made to the selected folio. The following options can be reached through the context (right click) menu and/or some options can also be activated with a button.

Allocate

Choose [Allocate] to allocate the selected unallocated payment to a folio. It is also possible to select an unallocated payment and several unpaid folios.

Edit

Choose [Edit] to change the details of the selected posting. Only today's posting can be changed.

Allocate

To allocate a folio to an unallocated payment. It is also possible to select an unallocated payment and several unpaid folios.

Edit

To edit a payment  posted on the same hotel date. This way a correction can be executed.

Transfer

 

Adjust

Choose [Adjust] to post an adjustment to the selected folio.

Please note: This adjustment does not mirror back into PMPRO! It will not appear in Journal products or Hist. Journal Products!

Print receipt

Choose [Print receipt] to print the receipt of the selected payment.

Restores the columns of the screen to the default
